Role

The Executive Assistant to the CEO is a key role within the organization, providing high-level administrative support to the CEO. This individual will ensure the efficient operation of the executive office, manage the CEO’s schedule, handle communication, and coordinate various tasks and projects.

Key Responsibilities

1.Administrative Support

  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.

  • Handle phone calls, emails, and correspondence on behalf of the CEO.

  • Prepare and edit reports, presentations, and other documents as needed.

2.Meeting Coordination

  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.

  • Ensure the CEO is well-prepared for all meetings and events.

3.Communication

  • Serve as a primary point of contact between the CEO and internal/external stakeholders.

  • Draft and manage communication on behalf of the CEO, ensuring clarity and professionalism.

4.Project Management:

  • Assist the CEO in managing and prioritizing projects and tasks.

  • Track project progress and ensure deadlines are met.

  • Conduct research and gather information to support the CEO's decision-making.

5.Confidentiality and Discretion:

  • Handle sensitive information with the utmost confidentiality and discretion.

  • Maintain the highest level of integrity and trustworthiness.

6.Operational Efficiency:

  • Streamline office operations and implement process improvements to enhance efficiency.

  • Manage and organize the CEO's files and records.

7.Event Planning:

  • Plan and coordinate company events, conferences, and other special functions.

  • Ensure all logistical details are handled smoothly.

8.Financial Administration:

  • Assist with budget preparation and expense reporting for the executive office.

  • Track and reconcile expenditures, ensuring alignment with budgetary constraints.

Qualifications

  • Education: Bachelor’s degree in business administration, Communications, or a related field.

  • Experience: Minimum of 3 years of experience in an executive assistant role, preferably supporting C-level executives.

  • Skills:

    • Exceptional organizational and time-management skills.
    • Strong written and verbal communication abilities.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Gmail, Google Drive).
    • Ability to manage multiple tasks and work under pressure.
    • Strong attention to detail and problem-solving skills.

Reporting Structure

The Executive Assistant to the CEO reports directly to the CEO and collaborates with other members of the executive team and staff.
